Google Calendar Integration — Link AI

Direct Google Calendar booking — no scheduling middleware needed.

TL;DR

Link AI books, reschedules, and cancels meetings directly on Google Calendar without requiring Calendly or another scheduling product in the middle. The integration uses Google's Calendar API v3 with OAuth 2.0 and respects your existing working hours, calendar visibility, and event reminders. Best for solo founders, small teams, and businesses that want a simple stack — the AI is your scheduling layer. For multi-rep round-robin or weighted distribution, pair this with the Calendly integration instead. Setup is one click and the AI is booking real meetings inside ten minutes.

What this enables

  • Direct event creation on any Google Calendar the user owns or has write access to.
  • Free/busy lookup that respects working hours and other calendars.
  • Automatic Google Meet links on every booking.
  • Reschedules and cancellations from voice, chat, or email.
  • Multi-calendar support — a clinic with three doctors can expose three calendars.

Why this integration matters

Google Calendar is the cheapest and most direct scheduling backend possible — it is already installed everywhere and costs nothing extra. For solo operators and small teams, adding Calendly on top is usually overkill. Link AI fills the gap directly: the AI checks free/busy across selected calendars, picks slots that respect your working hours, books the meeting, and inserts a Google Meet link. The OAuth flow uses Google's standard scopes (calendar.events) and is reviewed under Google's restricted-scope verification process. For teams who outgrow this approach, you can swap to the Calendly integration without changing how the AI behaves on calls.

Setup steps

  1. Step 1

    Connect your Google account

From Link AI Settings → Integrations → Google Calendar, click Connect Google. Grant the calendar.events scope.

  2. Step 2

    Choose calendars

Pick which calendars the AI can read for availability and which it can write events to. Different calendars for different intents are supported.

  3. Step 3

    Define working hours and buffers

Set the hours the AI is allowed to book inside, the minimum notice required, and any buffer time between meetings.

  4. Step 4

    Enable Google Meet by default

Optional but recommended — every booking gets an auto-generated Google Meet link added to the event.

Sample use cases

Solo consultant — phone to meeting

A solo strategy consultant has Link AI answer their phone. Every qualified caller is offered slots from the consultant's Google Calendar and booked on the spot with a Meet link.

Clinic with three practitioners

A boutique clinic exposes three doctors' calendars. The AI asks which practitioner the patient prefers and books on the right calendar.

Hebrew rescheduling by WhatsApp

A patient WhatsApps 'אני צריך לדחות את הפגישה'. Link AI finds the next event, offers alternatives in Hebrew, and updates Google Calendar.

FAQ

Does this work with Google Workspace and personal Gmail accounts?

Both. Personal @gmail.com accounts and Workspace domains are supported. Workspace admins can pre-approve the Link AI OAuth app for the whole organization.

What is the difference vs the Calendly integration?

Google Calendar is direct — the AI is your scheduling layer. Calendly adds round-robin, weighted distribution, and event-type routing. Pick Google Calendar for simple single-calendar workflows; pick Calendly for team distribution.

Are Google Meet links automatic?

Yes, optionally. If enabled, every booked event includes a Meet link in the event description.

Can I limit how far in advance the AI can book?

Yes. Configure minimum notice (e.g. 2 hours) and maximum lead time (e.g. 60 days) in Link AI settings.
