Calendly Integration — Link AI
Let your AI book directly into Calendly — voice, chat, email.
TL;DR
Link AI integrates with Calendly so your AI receptionist can offer real availability, book the meeting, and confirm by SMS or email — all in one conversation. The integration uses Calendly's official API v2 with OAuth, supports event types, single-use scheduling links, and team round-robin routing. When a customer says 'next Tuesday at 3pm,' Link AI checks the underlying calendar, books the meeting through Calendly (so your existing routing rules, buffers, and meeting limits apply), and adds the prospect to your follow-up workflows. Works for both Link Voice (phone calls) and Link Mailer (cold-email replies).
What this enables
- Live availability — the AI offers the same slots Calendly would show on the booking page.
- Round-robin team routing — meetings land on the right rep's calendar.
- Buffers, daily caps, and minimum notice are respected.
- Cancellations and reschedules handled inside the same channel.
- Confirmation SMS / email triggered automatically.
Why this integration matters
Calendly is the de-facto scheduling layer for B2B sales teams, but it has one limitation — it assumes the prospect lands on a booking page. Most high-intent leads never do. They call, message, or reply to a cold email, and by the time the SDR sends a Calendly link the moment is gone. Link AI closes that gap by reading from and writing to Calendly inside the conversation itself. The integration uses OAuth 2.0 with refresh tokens, so once your team connects their Calendly accounts, the AI books on their behalf without anyone re-authenticating. Round-robin, weighted distribution, and team event types are all supported.
Setup steps
Step 1
Connect your Calendly workspace
From Link AI Settings → Integrations → Calendly, click Connect. The OAuth flow asks for read access to event types and write access to schedules.
Step 2
Pick the event types to expose
Choose which Calendly event types Link AI can offer to prospects — typically Discovery Call and Demo. Other event types remain private.
Step 3
Map intents to event types
Tell Link AI which conversational intents map to which event types. 'Wants a demo' → Demo. 'Has questions about pricing' → Discovery.
Step 4
Configure confirmation messaging
Customize the SMS and email Link AI sends after booking — the default uses Calendly's templates.
Sample use cases
Phone call → meeting on the calendar
A B2B SaaS team has Link Voice answer their main line. Inbound prospects who ask for a demo are offered three real slots and the meeting lands on the right AE's calendar via round-robin.
Cold email reply → booked discovery call
A consulting firm runs Link Mailer outbound. When a recipient replies 'send me times,' Link AI offers Calendly slots in the same thread and books the meeting.
WhatsApp reschedule, hands-free
A clinic patient WhatsApps 'I need to move my Wednesday appointment.' Link AI looks up the booking in Calendly, offers alternatives, and confirms — no human in the loop.
FAQ
Which Calendly plans are supported?
All paid Calendly plans (Standard, Teams, and Enterprise). The free plan works for single-user scheduling; team features require Teams or higher.
Are buffers and minimum-notice rules respected?
Yes. Link AI reads availability through Calendly's own API, so every constraint you set (buffers, daily limits, minimum notice, working hours) is honored.
What about round-robin teams?
Fully supported. If the event type is a round-robin or weighted team event, Link AI books through it and Calendly handles assignment.
Can the AI handle reschedules?
Yes. Cancellations and reschedules use the same Calendly API and trigger the standard Calendly notifications.
