Automate appointment booking end-to-end

The problem

Booking an appointment by phone is one of the most predictable interactions in business. Caller wants a time, you check the calendar, you offer a slot, they accept, you confirm. The script is essentially the same every time — and yet, on average, an Israeli front-office worker spends 30–45% of their day on it.

Self-service booking portals were supposed to fix this. They did not, because the median Israeli customer over 35 still prefers to call. Customers who want to call will continue to call, no matter how good your web booker is.

The real lever is not forcing people online; it is making the phone interaction as cheap to deliver as the web one. That means the human only handles exceptions, while the routine 80% — first booking, simple reschedule, cancellation, reminder confirmation — runs on autopilot.

How Link AI solves it

Link Voice handles the full appointment lifecycle conversationally. A caller can say 'אני רוצה לקבוע תור לשבוע הבא בבוקר' and the agent reads the live calendar, offers 2–3 matching slots, books the chosen one, and triggers the SMS confirmation with the practice's address and prep instructions.

Reschedules and cancellations work the same way. The caller does not need to remember a booking number — the agent identifies them by phone, finds the upcoming appointment, and offers to move or cancel it. The freed slot is opened back up in your booking system within seconds, available to the next caller.

We bake in the operational policies you already enforce: cancellation windows, deposit rules, late-arrival grace periods, slot-type restrictions per provider. The agent does not improvise on policy.

Operational impact

60–80% of booking calls handled with zero human touch

Across deployed clinics and service businesses, the majority of booking, rescheduling, and confirmation traffic resolves inside the agent. The remaining human-touch calls are genuinely complex cases that benefit from human judgment.

What this looks like in practice

Automate appointment booking with Link Voice

  1. Connect your calendar

Link your Google Calendar, Outlook, or practice-management system. The agent reads availability in real time, so it never double-books.

  2. Define booking rules

Tell the agent your slot lengths, buffer times, provider-specific service rules, and cancellation policies during onboarding.

  3. Add SMS reminders

Configure when reminders fire (24h, 2h) and what they say. Customers can reschedule by replying to the SMS or calling back in.

  4. Go live and monitor

Route inbound calls to the agent. Track booking volume, no-show rate, and human-escalation rate in the dashboard week one.

Frequently asked

What booking systems do you integrate with?
Google Calendar, Outlook/Microsoft 365, Calendly, Cal.com, and most Israeli clinic-management systems including Otto, Dental4Windows, and several EMR vendors. For others we connect via API or calendar webhook.
Can it handle multiple providers and rooms?
Yes. Per-provider availability, per-service duration, and per-room constraints are all first-class. The agent will offer slots only where every constraint is satisfied.
What if the caller does not have a preference?
The agent suggests the next available slot that respects your preferences — earliest, best provider match, or balanced load across providers. You set the policy.
Does it send confirmations and reminders?
Yes. SMS and email are standard. WhatsApp is supported on the Business API where you have a verified sender.
What about deposits and payment?
We support deposit collection via Stripe or your local PSP at the moment of booking — the agent reads out the booking summary and sends a one-time payment link via SMS to confirm.
Will it talk to repeat customers differently?
Yes. If a caller's phone number is on file, the agent greets them by name, recalls their usual provider, and skips the questions it already knows the answer to.
