How does the per-lead research process work?

For every lead, Link Mailer runs a pipeline: enrich the contact (Apollo, FullEnrich, public web), fetch the company's recent news and product changes (Exa Websets and direct crawl), score signal-fit against your ICP, then write a personalized email with a specific reference to something the lead actually cares about. The whole pipeline runs in seconds and produces an auditable research note attached to the lead so your reps can see why the AI wrote what it wrote.

Who handles replies?

By default, replies route to your inbox and a human takes over. On managed plans, Link Mailer can also auto-classify replies (interested / not-now / out-of-office / unsubscribe / objection) and either auto-respond to soft cases (out-of-office, scheduling) or hand off labeled threads to your CRM with the right tag. You stay in control: every auto-reply requires explicit per-campaign opt-in.

How does inbox warmup work?

Link Mailer ships built-in domain and inbox warmup. New sending identities ramp from 5-10 emails per day to several hundred over 2-4 weeks, with automated peer-warmup traffic that simulates real conversation patterns. We monitor Google Postmaster, Microsoft SNDS and spam-folder signals, and slow down ramp-up automatically if reputation dips. You do not need to babysit it — most customers never touch the warmup dial after onboarding.

Can I see sample emails before going live?

Yes. Every new account starts in dry-run mode, where Link Mailer runs the full research and writing pipeline on your real lead list but does not send anything — emails land in a preview queue you can review, edit and approve. You sign off on a sample batch first, then flip the campaign to live. This means you never wake up to a campaign that misrepresented your brand.

How long does setup take?

Self-serve setup runs about a day: connect your sending domain (with DNS records we generate for you), define your ICP, upload or import a lead list, and let warmup kick off. Mid-market accounts with custom templates and CRM hooks typically take three to five business days. Enterprise customers running multi-domain, multi-language outbound usually plan a two-to-three-week onboarding. The blocker is almost always DNS propagation and warmup, not our software.
